How to organise your data for import
Records can be imported using Excel spreadsheets. Go to Organise Your Data for Import to find out how to prepare your Excel files.
How to import records
Click the Admin Settings icon
in the top right corner.Select Data Management, then Import Stakeholders / Interaction / Property / Task.
Click Browse to search for and select the Excel file (.xlsx) to import.
When importing stakeholders, select the type of stakeholders to import: Contact (Individual stakeholders) or Organisation.
Click Next.
Map the data.
Simply Stakeholders automatically matches (maps) the column headings from your import file to the corresponding fields in Simply Stakeholders.
Check that the fields have been mapped correctly. If a match in the 'Fields Mapped' column is incorrect, click Remove and re-map it.
Any fields that could not be mapped automatically can be mapped manually. To do this, match the field in the 'From your file' column with the relevant Simply Stakeholders field in the 'To Simply Stakeholders' column.Tip:
Name your spreadsheet column headings to match Simply Stakeholders field names before importing. This helps the system auto-map your data and reduces manual mapping time.
Click Next.
When importing Contact (Individual) records, Simply Stakeholders uses AI to suggest an organisation for each contact based on their email domain. Suggestions are only generated for recognised organisational domains, so generic or personal email addresses such as Gmail or Outlook are excluded.

A suggestion may match an existing Organisation record in your account or identify a new one from the data in your import file. If the suggested organisation does not yet exist in Simply Stakeholders, a new Organisation record will be created automatically. Suggestions are applied automatically unless you choose to decline them.
Once you have reviewed the suggestions, click Continue with Import to continue.
Note:
Organisation suggestions only appear for Contact (Individual stakeholder) imports. They do not appear when importing Organisation records.
If a contact has no organisation in your file, Simply Stakeholders will still attempt to suggest one — either an existing record or a new one — based on the data in your file. If no suggestion can be made, the record will import without an organisation. You can add or update an organisation on any stakeholder record at any time after import.
The file will validate and show the results.
A red error means there is something wrong with the information in the Excel file. This row will not import. You can update the file and re-import it.
Note: If you hover over the area highlighted in red, it will give you the reason for the error.
Click Import.
The final page will show the results of the import. Details will include:
How many records were in the import file.
How many records successfully imported.
How many existing records were updated with information from the file.
How many records did not import.
A list of the records that did not import (if any).
About Organisation suggestions
Organisation suggestions are part of Simply Stakeholders' AI-driven data enrichment. When you import Contact (Individual stakeholder) records, the system analyses each row and suggests an organisation to link the contact to — giving you a chance to review and confirm those links before the records are saved.
Suggestions can be either existing Organisation records in your account, or new organisations the AI has identified from your import data. If you accept a suggestion for a new organisation, Simply Stakeholders will create the Organisation record at the same time as it imports the contact — so both records are created in a single step.
Account administrators can review privacy information about how organisation data is used, and enable or adjust the feature, in Admin > Account Configuration > AI Data Enrichment > AI Organisation Detection.
Tip:
Before enabling AI Organisation Detection, review the privacy information on that settings page to understand how your data is processed.
